Review AML screening results

Learn how to interpret and manage AML screening results.

Currently, we have two distinct flows in our AML case management: the new flow and the legacy flow. Both of these workflows are designed to streamline your processes and improve efficiency in handling AML matches and related cases based on their specific characteristics. However, we are currently working to transfer all our clients to the new flow.

The main differences between the flows lie in how you can locate and filter AML cases. Below you’ll find the descriptions of both flows and their specifics.

Locate AML cases

You can access AML cases from three points:

  1. The Watchlists section of the applicant profile. This location is relevant for both the new and the legacy flows. In the applicant profile, you can find various case metrics, such as the date and time when the screening was performed, the applicant’s name along with their date of birth, the search reference that was used during the screening, the fuzziness interval, and whether the ongoing monitoring was enabled.
  2. The AML Cases tab in the Case Management queues. This location is relevant for the legacy flow only.
  3. The AML-associated tabs (these contain the names of the blueprints you created for your AML investigations) of the My Cases queue. This location is relevant for the new flow only.

Filter AML cases

In the legacy flow, you can apply the following filters to sort your cases:

Applicant typeAllows you to select between individuals (people) and legal entities (businesses).
Source keyOpens the list of available source keys.
Match statusLets you select a specific AML match type, for example, a potential match.
Hit relevanceAllows you to select the fuzziness level for name hits.
Case originAllows you to select between ongoing and new AML cases.
Hit countriesOpens the list of countries where hits may come from.
Ongoing monitoringLets you select the applicants with ongoing monitoring on/off.
Update dateLets you select the case update date.

You can also include the processed cases and show all configured queues by activating the respective toggles or switch between the tabs with the cases that are assigned to you and all cases requiring action.

In the new flow, the cases are by default sorted based on the dedicated blueprint. You can also sort them by status. To learn more about case statuses, refer to this article.

Interpret AML Screening results

Depending on the screening results, the status timestamp is highlighted in different colors:

  • Green — no matches were found in the watchlists; the applicant can be approved (or is already approved).
  • Yellow — matches in the watchlists are found, and require investigation.
  • Red — matches in the watchlists are found. Thoroughly investigate check results if you want to approve the applicant despite the found matches.

You may have several timestamps—each showing its own results—in case of several WL checks performed at different times.

Resolve AML cases

If the applicant was assigned to you after the AML screening in accordance with the new or legacy flow, or you disagree with the system decision, you need to investigate the case card and make a final decision according to your business requirements.

To resolve the case, act as follows:

  1. In the Dashboard, open the Applicants page.
  2. Navigate to the applicant profile you need.
  3. In the upper-right corner, click Change applicant status. Upon initiating the applicant status change, the profile goes into the Requires action status.
  4. Navigate to the AML Screening section to see the following data:
Screening parameterDescription
Search termName of the screened person.
Created atDate and time when the first screening was performed.
Search refSearch ID on the Comply Advantage (our AML screening provider) side.
Fuzziness IntervalA customizable value that defines how many inexact matches can be found during the WL screening.
Year of birthBirth date of the screened person.
Ongoing monitoringIndicates if the ongoing AML monitoring is on/off.
Last screening dateDate when the screening was last performed.
Warning typesTypes of matches configured in the settings. Hover the mouse cursor over the question mark to view, or click the link to open the settings in a new tab.
  1. In case there are several WL checks performed at different times, go through the last timestamp only to study the most recent data.
  2. Open the applicant record in the table and investigate the provided sources.
  3. If you plan to approve the applicant, ensure that all matches in the latest AML check have one of the following states:
    • False positive
    • is whitelisted
  4. Click Approve or Reject.

Note

If a match is marked as whitelisted, the system will stop ongoing AML monitoring (if enabled) for this specific match. Even if the information related to the match changes in the future, no further updates will be generated.

In case you access the AML screening results through the applicant profile to approve applicants rejected during the screening, act as follows:

  1. In the Dashboard, open the Applicants page.
  2. Navigate to the applicant profile you need.
  3. In the upper-right corner, click Change applicant status. Upon initiating the applicant status change, the profile goes into the Requires action status.
  4. Navigate to the AML Screening section.
  5. In case of several WL checks performed at different times, go through only the last timestamp to see and study its results.
    To check the relevance of the match, click the applicant record in the table and investigate the provided sources.
  6. If you plan to approve the applicant profile, change the parameters. All matches in the latest AML check should have one of the following states:
    • False positive
    • is whitelisted
  7. Click Approve or Reject.

Remove watchlist check results

You can remove the screening results for each of the timestamps:

  1. Select the timestamp of the results that you want to remove.
  2. Click Delete and confirm the action.
